- 01Read the deal. Load the deal that triggered the run with its amount, list price, discount, payment terms, contract length, owner, and associated company, plus the latest notes.
- 02Check it against policy. Compare the discount and each term to the configured policy. Decide one outcome: inside policy, needs manager approval, or needs finance approval. When a required property is empty, the outcome is needs review, never inside policy.
- 03Inside policy: record it. Add a HubSpot note on the deal stating the checks that passed, and stop.
- 04Outside policy: build the request. Summarize the deal, what exceeds policy and by how much, the rep's stated reason from the notes, and the deal's size and stage.
- 05[Approval gate] Review the out-of-policy discount and terms, exactly as recorded on the deal, before anything is marked approved.
- 06Record the decision. Add a HubSpot note with the decision and who made it, and update the deal's approval property if one is configured. If the approver asked for different terms, record them in the note for the rep to apply; do not change the discount or amount yourself.
- 07Tell the rep. Post the decision in the deal desk Slack channel, mentioning the deal owner and linking the deal.
Never mark a deal approved without the approval gate clearing, and never change a deal's amount or discount at all.
Never send anything to the customer. This agent works inside HubSpot and Slack only.
Treat missing or contradictory deal data as needing review, not as compliant.
Do not re-request approval for a deal whose current terms were already approved; check the deal's notes first.
